    Re:

    Six Month Final Rotation Evaluation

    Dear Colleague,

It is now time for you to complete the 6 month final rotation evaluation on the U of T POWER system. Please recognize that one of the Standards of Accreditation is that evaluation MUST be TIMELY, FACE-TO-FACE and must INVOLVE SOME NON-PHYSICIANS in order to accurately and comprehensively assess non-Medical Expert role functioning.

Please ensure that you complete the ITER on your resident this month. Late completion of an ITER (beyond 1 week after the end of a rotation) violates a Standard of Accreditation.

After conferring with other staff involved in your resident supervisee’s educational experience, please ALSO review your own rotation-specific goals and objectives, which are written in the “CanMEDS roles” format. Please set aside adequate time to meet with your resident-face-to-face in order to provide feedback about performance in the rotation. PLEASE NOTE THAT WE NOW ARE USING MORE SPECIFIC, BEHAVIOURALLY ANCHORED ITERS THAT ARE CLOSELY ALIGNED WITH THE NEW GOALS AND OBJECTIVES OF THE ROTATION OR PSYCHOTHERAPY MODALITY.

Residents are hungry for feedback about how they can improve their performance. Honest, specific feedback should be viewed as a gift that each resident has earned.

Please follow this step-by-step advice about how you can significantly enhance the quality of your evaluative feedback:

    1)      Email or phone the resident and ask them to prepare in advance for the meeting by reviewing the Rotation Specific Goals and Objectives. Ask the resident to write down areas of relative strength and weakness.
    2)      Have the Goals and Objectives form with you in order to refer to during your meeting with the resident.
    3)      Begin the meeting by asking the resident how they perceived their performance during the rotation. (“How do YOU think YOU did?”). Ask the resident to focus on relative strengths and then on relative weaknesses.
    4)      Provide feedback on your resident’s self-assessment first (was it
    accurate?)
    5)      Make your feedback about actual resident performance constructive but specific. Try to address all the CanMEDS roles.
    6)      Do not use stock phrases like: “You are one of top 10 residents that I have ever supervised” or “you just need to read a bit more”. Instead, tell the resident exactly why his/her performance leads you to conclude that she/he is “one of the top 10”. Tell the resident exactly why and where you think his/her knowledge base is insufficient and provide specific recommendations about what to read in order to make up for this knowledge gap.
    7)      Ask for resident feedback about your feedback: “What’s your reaction to what I’m telling you today?”
    8)      Provide concrete suggestions for how to improve performance-the more specific the better. Writing it down on paper is best of all (and this is actually required for resident performance that is below “3” on the POWER evaluation form).

If you have any other suggestions about how we, as postgraduate educators and teachers can improve the process of giving feedback to our residents, I would very much to hear from you.

    Educationally Yours,

    Ari Zaretsky, MD, FRCP(C)
Postgraduate Director, Department of Psychiatry, University of Toronto

    Education Development Fund
    Applications are Open

    Hello,

The Education Development Fund Committee supported by the Council of Education Deans, is now accepting applications for the 2009 round of the EDF. The application process is online at the following website: http://admin.med.utoronto.ca/edf/

The deadline for applications is January 23, 2009.

The Education Development Fund supports curriculum development across the Faculty of Medicine; often it is used to support a pilot project or a new innovation in learning. Faculty educators and teachers in basic, clinical, rehabilitation and community health sciences are eligible to apply. There is an expectation of matched funding; usually this is supported by the faculty members' department, however in the past, matched funding has also been secured by hospital funds or other granting agencies. Further information and funding parameters are available on the Council of Education Dean's website here: http://www.facmed.utoronto.ca/about/governance/council/edf.htm

The Centre for Faculty Development is offering a workshop entitled "Dissemination of an Educational Innovation" which will be held on Monday, January 12, 2009 from 1-4pm at the CFD offices, 2 Queen Street East, Suite 910. This workshop, led by Dr. Glen Bandiera is designed to help prepare faculty members to submit strong, scholarly Education Development Fund proposals. For more information and/or registration, please go to the CFD Website at: http://www.cfd.med.utoronto.ca/programs/register2009.html

The Vice-Deans, Education would greatly appreciate your help in disseminating this information with your colleagues and in encouraging and supporting their applications to the fund.

Please do not hesitate to contact me directly if you have any questions.
